INFORMATION NOTICE ON THE PROCESSING OF PERSONAL DATA

The Chamber of Commerce and Industry of the Republic of Moldova, acting as personal data controller, respects the right to privacy and processes personal data in accordance with Law No. 195/2024 on personal data protection.

This Information Notice explains how the personal data of persons who register for and participate in the event is collected, used and protected.

1. Personal data controller

2. Personal data processed

The following categories of data may be processed during registration and participation in the event:

  • first and last name;
  • name of the represented company or organisation;
  • position;
  • email address;
  • telephone number;
  • other information supplied voluntarily through the registration form;
  • information about participation in the event;
  • photographs and video recordings made during the event.

Only data necessary for the purposes described in this Information Notice is processed.

3. Purposes of processing

Personal data may be processed for the following purposes:

  • registering and managing participation in the event;
  • communicating with participants before, during and after the event;
  • sending organisational information concerning the event;
  • administering participant lists and internal records;
  • preparing statistics and reports on the event;
  • documenting activities carried out during the event;
  • creating and using photo and video material for information, communication and promotion of the organiser’s activities.

The data will not be used for other purposes incompatible with those stated above without informing the data subjects and, where necessary, establishing an appropriate legal basis.

4. Legal basis for processing

Personal data is processed, as applicable, on the basis of:

  • the data subject’s consent;
  • steps necessary for registration and participation in the event;
  • legal obligations applicable to the organiser;
  • the legitimate interest of the Chamber of Commerce and Industry of the Republic of Moldova in organising, administering, documenting and promoting its activities and events, insofar as this interest is not overridden by the data subject’s rights and freedoms.

Where processing is based on consent, it may be withdrawn at any time without affecting the lawfulness of processing carried out before withdrawal.

5. Photographs and video recordings

Photographs and video recordings may be made during the event to document and promote the event and the activities of the Chamber of Commerce and Industry of the Republic of Moldova.

These materials may be published or distributed through:

  • the organiser’s websites;
  • official social media pages;
  • press releases and information materials;
  • presentations and reports;
  • materials promoting the organiser’s events and activities.

A person who wishes to request information about the use of an image or submit a related request may contact the organiser using the details in this Notice.

6. Data recipients

Personal data may be accessed, to the extent necessary, by:

  • authorised employees and representatives of the Chamber of Commerce and Industry of the Republic of Moldova;
  • providers of IT, hosting, website administration or form-management services;
  • providers involved in the technical organisation of the event;
  • public authorities where disclosure is required by law.

External providers processing data on behalf of the organiser must comply with applicable data-confidentiality and security requirements.

7. Transfers outside the Republic of Moldova

Depending on the technical services used to operate the website and organise the event, certain data may be processed through service providers located outside the Republic of Moldova.

In such cases, the Chamber of Commerce and Industry of the Republic of Moldova will apply the measures necessary to ensure an adequate level of data protection in accordance with applicable law.

8. Retention period

Personal data is retained only for the period necessary to fulfil the purposes for which it was collected and any applicable legal or administrative obligations.

Data used to organise the event will be retained for a reasonable period after the event, depending on the purpose of processing.

Photo and video material with informational, documentary or historical value may be retained for a longer period where an appropriate legal basis exists.

9. Mandatory nature of the data

Data marked as required in the registration form is necessary to process the registration and organise participation in the event.

Without this data, registration for the event may not be completed.

Providing other, non-mandatory information is voluntary.

10. Data subject rights

Under the conditions provided by applicable law, the data subject has the following rights:

  • the right to be informed about data processing;
  • the right of access to personal data;
  • the right to rectification of inaccurate or incomplete data;
  • the right to erasure in the cases provided by law;
  • the right to restriction of processing;
  • the right to object to processing;
  • the right to data portability where applicable;
  • the right to withdraw consent at any time where processing is based on consent;
  • the right to lodge a complaint with the National Center for Personal Data Protection.

11. Data security

The Chamber of Commerce and Industry of the Republic of Moldova applies appropriate technical and organisational measures to protect personal data against unauthorised access, loss, destruction, alteration or unauthorised disclosure.

Access to data is granted only to persons who require it to perform their duties.

12. Cookies and external services

The website may use technologies strictly necessary for its operation and, where applicable, external services required to display certain content elements.

Where non-essential technologies requiring consent are used, they will not be activated before the user expresses a choice.
